This guide provides step-by-step instructions on how to add a load manually, through automatic rate confirmation, and Amazon load import.

As a professional trucking dispatcher, adding a load is a routine but essential task, often performed multiple times a day. Ensuring that your drivers have all the necessary details is critical, yet not always straightforward. That's why at Vektor, we have developed an intuitive load adding mechanism specifically designed to enhance your dispatch efficiency. With our system, the focus is on working for you and making your job easier, not the other way around.

Below are the three main methods for adding a load to Vektor:

How to Add a Load Manually

  1. Navigate to the 'Add a new Load' section and click on it.

  2. Drop your rate confirmation. The system will attempt to extract data. If extraction is not possible, send the rate confirmation to our support, and we'll ensure it's optimally mapped for future use.

  3. Follow the on-screen prompts, manually filling out the necessary fields. The address search feature allows you to enter approximate addresses, and the system will find the optimal match.

  4. Enter the appointment times and add any notes related to the load.

  5. Add the amount for the load and submit. The load will now be in the system..

Adding a Load through Vektor Doc AI - Rate Confirmation Importer

  1. Press 'Add a new Load' to create a new draft.

  2. Drop the PDF attachment for the rate confirmation to save in the system.

  3. Vektor Doc AI will auto-map and import all the data from the confirmation.

  4. After checking the details, press 'Submit Load' to add the load to the system.

  5. If your rate confirmation doesn't auto-decompile, email it to us at [email protected], and we'll map it for future use.

Importing Amazon Relay Loads

  1. Navigate to 'Import' in Vektor.

  2. Export two weeks' worth of data from your Amazon Relay platform for a complete payment file match.

  3. Download the payment report file from Amazon Relay.

  4. In Vektor, upload the payment export file and the two trip files.

  5. Press 'Next' for the system to compile all the data into a complete report, including miles per trip and received payment.

  6. Ensure that the plate numbers on your Amazon Relay account match the ones in Vektor for accurate auto-assigning of loads to trucks and drivers. If there's a discrepancy or misspelling in the plate numbers or if a truck that performed a load in Amazon Relay is not added to Vektor, the system won't be able to assign the load to the appropriate truck and will skip it.

Notes:

  • Unpaid loads from Amazon Relay will not be imported. This import system is designed primarily for paid loads for settlement purposes.

  • If certain loads were not imported after completing the import process, you can reimport them. The system will prevent the importing of duplicates while ensuring that any missed loads are added.
